Getting paid when the agreement is in WhatsApp

You sent the quote in a message. The client said go ahead in a voice note. You did the work and heard nothing. You may not have a signed contract, but you probably have more proof than you think.

Four things your chat can show

  • What was agreed

The quote, the price, the date and the moment they said yes. "Go ahead", "looks good" and a thumbs up all count, and so does a voice note saying the same.

  • What changed

Extra rooms, extra rounds of edits, a bigger order. Clients who ask for more in messages often forget it when the bill comes. The chat doesn't.

  • What you delivered

The photos of the finished job, the links to the files, the delivery note, and any reply that shows they got it and were happy.

  • What they said about paying

"I'll pay Friday", "the invoice is with accounts", or no reply at all. A run of reminders with dates shows you asked, and how long you waited.

From the chat to a letter

A client who has gone quiet often pays once they see the whole history set out with dates. If they don't, you've already done the first part of the work for what comes next. This is general guidance and it isn't legal advice.

  1. 1

Send one clear reminder in the chat

Say what the work was, the amount, the invoice number and the date you need it by. A message like this also gives the reader of the record a clear summary.

  2. 2

Export the chat and read it through

Do this before you say anything stronger, and while you can still see the messages. Search for the price, the invoice number and the words they used to approve the work.

  3. 3

Write a short summary with message numbers

One page: what you agreed, what you did, what you sent, what you were told. With a record you can point to the exact line, such as "approved in message 212".

  4. 4

    Send a formal letter

Many places expect you to ask for payment in writing before you go further. Include the summary, the amount and the deadline. A paid record can go with it, or you can keep it for later.

  5. 5

    Then look at your options

A small claims process, a mediator, a debt collection service or a lawyer. Rules, limits and time limits differ by country, so check them locally. Your local court's website is usually a good place to start.

Common questions

Is a WhatsApp message a binding agreement?

It can be in many places, since many agreements don't have to be on paper. It depends on what was said and on local law, and certain kinds of contract do have special rules. A lawyer or a small claims adviser can tell you where you stand.

The client deleted their messages. Have I lost them?

If they used Delete for everyone, your copy shows a line saying the message was deleted, and the words are gone from it. If you exported before they did it, the export still has them, which is one reason to export early. Messages they deleted only for themselves stay in your chat.

The approval was in a voice note. Does that help me?

It can. A voice note is still there in your chat unless it was deleted or disappeared. A record writes it out with its date and time, so you can quote it. Check the text against the audio before relying on it, especially for amounts.

We also spoke by phone. What about that?

A call doesn't appear as an agreement in the chat. From now on, follow any call with a short message saying what you agreed. For earlier calls, write down what you remember, with the dates, and keep your phone's call log.

See what you've got

Open the chat with your client on your own device and search it for free. If it's enough, you can order a record.
